How is outsourced mechanical design quoted? Inputs, revisions and deliverables

Prepare appearance models, PCB and battery data, assembly and process requirements. Agree deliverables, prototype support and change control when requesting mechanical design quotations.

The short answer

Mechanical design cost depends on internal components, assembly relationships, manufacturing and validation—not simply enclosure size. Confirm whether appearance, PCB and battery choices are final, how many design variants are needed, and whether drawings, prototype follow-up and revisions are included. This defines effort better than a request to draw an enclosure.

Review appearance and internal space together

A rendering may look complete while leaving no room for the battery, PCB, connectors, controls and fastening features. Before mechanical design, bring known component envelopes, interface directions and operating positions into one layout. Identify which external dimensions may change and which must remain fixed.

If electronics are still evolving, agree interim envelopes and update dates. Treating a provisional PCB position as final can trigger changes to the enclosure, controls, assembly path and tooling. State the baseline input revision in the quote.

Part count is only one driver of effort

Part count helps, but assembly difficulty, cosmetic seams, sealing, heat management, moving features and servicing also matter. Removable batteries, snaps and screws each impose different space, strength and assembly requirements. Select them for the product's use.

Production processes affect mechanical design too. Molded, sheet-metal and CNC parts have different constraints. Review manufacturability with the machining or tooling team once a process is selected. A generic shape model is not engineering data that has already passed a manufacturing review.

Information to prepare before a quote

Discussion can begin with incomplete information, but list open questions and their owners. Electronics, firmware, industrial design, mechanical design, prototypes and tooling may have different owners. Define interfaces to avoid missing work or charging for it twice.

  1. Appearance models or drawings and permitted dimensional changes.
  2. PCB, display, battery, connector and purchased-component dimensions.
  3. Operating environment, operation, assembly and servicing requirements.
  4. Proposed materials and processes, sample and production quantities.
  5. Specific technical targets and a validation plan, not simply a request for strength.
  6. Required models, 2D drawings, parts lists and revision notes.
  7. Whether prototype issue reviews, revisions and supplier discussions are included.

Define revisions and acceptance to reduce rework

Set separate approvals for the first mechanical design, prototype verification and final revision. Distinguish corrections within scope from new functions, PCB changes or major appearance changes. Revision numbers, change notes and approvals are clearer than an open-ended promise to revise until satisfied.

Review assembly, interference, critical dimensions and issues found in prototypes. If prototype materials and processes differ from production, they cannot replace all production validation. Confirm these boundaries before issuing a price and schedule instead of advertising one low price for every product.

Can mechanical design start from appearance images alone?

Function and space can be discussed, but detailed engineering also needs dimensions, electronics and use requirements. Establish requirements and layout first when these inputs are missing.

Does mechanical design include PCB development?

Not by default. Mechanical design, electronics and software have separate scopes. Agree who owns each task, what is delivered and how the teams coordinate.
